GDPR - Data protection statement
The sole purpose of the Mailsort Online website (MSO) is to process data on behalf of our customers, enabling them to obtain postage discounts from the Royal Mail and other mailing providers.
For operational reasons and invoicing, MSO stores the following customer details: company name, address and contact name as well as data uploaded for processing. We have taken appropriate and reasonable measures to protect all data against unauthorised access. The website uses SSL encryption (HTTPS) for traffic between the customer and web-servers, passwords are stored in encrypted format and data available for download is only accessible via unique secret keys. No data whatsoever is used for our own marketing, passed to any other parties or used for any other purpose than stated here.
Uploaded data for processing
Uploading data to our service constitutes a processing-contract between the customer and MSO, and in doing so, the customer authorises MSO to act as a processor of data, some of which may potentially contain personal information covered by the GDPR regulations. The customer is responsible for obtaining all necessary consents and notices allowing us to lawfully transfer, process and store any uploaded data for the duration and purposes of this contract.
In order to fulfil the processing-contract it is necessary to transport data over the internet and to store it on our systems for a short period of time. At the end of this period, it is automatically deleted.
Our default data storage policy is as follows: Non-purchased data stays on our systems for 5 days, purchased Mailsort data stays for 8 days and purchased Mailmark data stays for 21 days. This policy may be changed here.
Our Desktop software solution is GDPR risk free
For customers who process sensitive data and would prefer to eliminate any risk involved with transporting it over the internet to and from our systems, we can offer our desktop application for both Mailsort and Mailmark.
